An opportunity has arisen for a dedicated and self-motivated Personal Assistant to join the Management Teams of the Podiatry and MSK Physiotherapy Services.
The successful candidate will fill the role of Personal Assistant to the Management Teams of a number of Clinical Services who are based at our Priestley Wharf Referral Management Centre and at Castle Vale Primary Care Centre. They will be responsible for a wide variety of administrative support roles including appointment scheduling, administration systems monitoring, diary management, stock control, organising meetings and minute taking.
We require someone who is enthusiastic and motivated and able to work to a very high standard of accuracy. An exceptional eye for detail and excellent organisational skills are also essential for this role and the successful candidate will be expected to demonstrate initiative in planning and priortising their workload in a way that supports the work of the whole team.
Excellent communication skills are also essential to enable you to respond professionally; you will be required to develop effective relationships with a wide range of staff and key stakeholders and have a positive ‘can do’ attitude. Because our services cover the whole of the City area, travel to multiple sites for meetings may be required from time to time so access to a car is an advantage but not essential.
Main duties of the job
Administrative support to Management Teams of Podiatry & MSK as required.
Maintaining electronic staff records and training compliance and reporting to Management Teams as required
Communicate effectively and confidently with internal and a range of senior level external clients by telephone, letter and electronically managing complex communications and ensuring that these are managed appropriately.
To arrange and organise Team meetings and supervision sessions as necessary including preparing agenda and minute taking as required. including preparing and circulating agenda, minutes and booking refreshments for external meetings.
Produce well presented high level medical and clerical letters, reports, agenda and minutes, (with a high degree of accuracy and speed) as required.
Process annual leave and study leave applications for designated staff and to maintain appropriate records and databases.
Ensure a continuous and efficient support for the RMC Services Management Teams is maintained during periods of annual leave (and other absences).
Co-ordinate away days, workshops and interviews providing support
To undertake other duties commensurate with this grade of post in agreement with the relevant line manager.

Essential criteria
- Relavent job related experience in administrative support to a clinical service
- Education to A-level standard /RSA 3 word processing/typing or equivalent/NVQ level3 or equivalent
- Evidence of time management ond organisational skills
Desirable criteria
- Experience of working as admin support within the NHS
Knowledge
Essential criteria
- Sound understanding of Microsoft Office applications including Word, Excel, Outlook and data entry.
- Ecellent written and verbal communication skills
Desirable criteria
- Knowledge /qualification in Medical Terminology
