Job overview

To act as Medical Secretary Coordinator looking after the administration and secretarial services for the Colposcopy Service alongside the Colposcopy Nurse and Team of Consultants.

Main duties of the job

Coordinate & oversee administrative & secretarial processes in support of effective and efficient functions of the clinical Team

Coordinate to ensure that the administrative processes within the failsafe guidance are adhered to.

Act as a contact point and liaise 1:1 with clinicians, patients, medical and nursing staff and external agencies either face-to-face or over the telephone.

Detailed job description and main responsibilities

Ensure guidelines concerning patients who do no attend (DNA's) clinic appointments are adhered to by complying with the failsafe system, which is a National Colposcopy requirement.

Attendance at relevant internal/external meetings and to prepare the monthly colposcopy MDT list of patients to be discussed.

Undertake training as and when required ensuring understanding and compliance of Trust Policies and procedures.

Qualifications

Essential criteria
  • Good standard of oral and written English
  • RSA or equivalent keyboard skills
  • GCSE and above

Experience

Essential criteria
  • NHS Administrative experience
  • Work in customer service / patient facing role
  • Working under pressure / working to deadlines
  • Working as part of a Multidisciplinary Team
Desirable criteria
  • Use of NHS computer systems eg: iPM, ICE, Infoflex, Evolve
  • Outpatient clinic management
  • Colposcopy service experience

Knowledge

Essential criteria
  • Knowledge of NHS outpatient pathways
  • Attention to detail / accurate data entry and knowledge of confidential information
Desirable criteria
  • Knowledge of Colposcopy service National Standards and processes
