Job overview
This role is responsible for providing a high level of business support to the Executive Leadership Team, communicating on their behalf with a wide range of internal and external parties as appropriate, and ensuring a professional, high quality and confidential administrative/business support service is provided. The post holder is expected to work autonomously, prioritise work using judgement and initiative, recognising the high-profile nature of the work of the Senior Leadership Team and overseeing that all work within the corporate admin office is of the highest standard. The role will provide a dedicated service for individual members of the senior leadership team but will be expected to cover across the corporate office sites (Clevedon, Bristol, Yate) and deputise for the Senior Executive Assistant/Lead as required. |
Main duties of the job
The post holder will work as part of a team in delivering a proactive business and office management support contributing to achievement of directorate/function objectives. · Organise and manage documentation for meetings and events, including preparation of agendas and minutes of meetings, tracking actions and timeframes as appropriate. · Ensure senior leaders have been briefed and have the required documentation for all meetings/events. · Organise and produce reports, papers, presentations and other similar documentation in accordance with organisational timeframes. · Provide effective diary management for Senior Executives and the team, ensuring that appointments are planned and coordinated, and run to schedule. Use independent judgement to prioritise the high-level completing demands to ensure an appropriate balance in the daily scheduling in line with preferences, responsibilities or project plans. · Organise and plan meetings and events as directed, including sending invitations, booking venues, making travel arrangements, arranging speakers and providing relevant papers and material. Provide high quality support to ensure they are managed and delivered effectively. · Support team members with the corporate office to understand their individual priorities and work requirements. |

Qualifications
Essential criteria
- • Educated to AS/ A Level or NVQ 3/ Diploma level 3 or equivalent level of experience.
- • Working at a similar level in a specialist area (healthcare/public sector)
- • Recognised IT qualification or equivalent experience, with evidence of proficient IT skills in Microsoft Office including Word, Excel, Powerpoint
- • Commitment to continuing professional development
Desirable criteria
- • Understanding of or qualification of project management. Principles, techniques and tools such as Prince 2 Foundation and Microsoft Project.
