Our Administration Team are seeking a new Administrator to work within our South Bristol Locality. This role is key in supporting the Integrated Neighbourhood Teams (INTs) that deliver out of hospital care to people in their own homes or community clinics. 

As a member of our administrative team you will play an essential role in supporting clinical colleagues who work in these teams. You will work alongside clinical teams who include Nurses, Physiotherapists, Occupational Therapists, ACP's and support staff. You will regularly communicate across the whole team as well as with service users and colleagues across the wider organisation.

This role is essential to the smooth running of our services ensuring that our service users receive the best care possible.

The service operates 7 days a week, 8am-8pm. Working patterns can be discussed at interview. Colleagues work 1 weekend per month on average.

Main duties of the job

  • Provide a professional service to a range of customers including patients/clients, carers, families, health professionals and other organisations.
  • Respond appropriately to unexpected and challenging situations which may include contact with patients in emotional situations.
  • Give non-clinical advice appropriately.
  • Escalate issues to line manager.
  • Liaise with colleagues, patients and external contacts regarding complex messages and patient queries (including sensitive information) to help the team run effectively.
  • Adapt communication according to a diverse range of situations.
  • Create templates and bespoke letters with guidance.
  • Maintain awareness of priorities.
  • Train colleagues and provide day to day supervision.
  • Problem solve to manage expectations of patients.
  • Develop rotas and resolve conflicting diary appointments.
  • Organise meetings, set agendas, take minutes and follow up actions.
  • Undertake project administration.
  • Follow standard operating procedures, contributing ideas for process improvements.
  • Support managers with recruitment related admin.
  • Responsible for small expenditure and ordering of stationery and clinical supplies.
  • Maintain records relating to medical devices and equipment.
  • Create and maintain accurate records in line with confidentiality guidelines.
  • Collate and input data using various systems, producing reports.

You may be asked to travel between our bases when required.

Essential criteria
  • NVQ 3 in administration, or equivalent demonstrable experience.
  • Numeracy and literacy level 2 qualification or equivalent demonstrable skills.

Skills, Knowledge & Experience

Essential criteria
  • Administration work relevant to position applied for. Please provide examples.
  • Experience of delivering excellent customer service over the telephone and in person. Please provide examples.
  • Range of IT skills including electronic communication, text processing, spreadsheets and data bases.
  • Experience of working well in a team environment and able to act on own initiative including the ability to prioritise time and tasks.
  • Able to deputise for more senior colleagues when required and support with the training of new colleagues.
Desirable criteria
  • Previous experience in a health/social care or service-oriented organisation.
