An exciting opportunity has arisen to join the Haematology Oncology team as a Support Project Manager on a fixed term 6 months contract.

You will be responsible for attending different task and finish groups relating to projects and being a key representative for the department, making suggestions and feeding back changes to the wider team. You will work closely with the Assistant Service Manager to support with key tasks, as well as link in with the wider management team.

Skills such as organisation, time management and good team working are essential.

Main duties of the job

  • Take lead on project meetings, representing Haematology.
  • Work closely with the Assistant Service Manager, supporting with administrative tasks.
  • Liaise with staff at all levels both internally and externally, answering written and verbal enquiries when necessary, taking action on all matters which can be dealt with without further reference.
  • Appropriately disseminate a variety of correspondence/documentation, some of which is highly confidential.
  • Plan and attend multi-disciplinary team (MDT) meetings on an ad-hoc basis, hearing and recording information regarding patients’ care.
  • Accurate recording of meeting minutes.
  • Create Good Receipts Notes (GRN) for invoices to the department.

Detailed job description and main responsibilities

PRINCIPLE DUTIES AND RESPONSIBILITIES

 

Communication

  • Serve as a main point of contact for the projects that are involved in.
  • Liaise with finance team to ensure invoices are paid.
  • Receive and interpret sensitive and highly confidential information in an efficient and professional manner.
  • Meet with various staff to ensure projects are moving ahead as appropriate.
  • Cascade complex information to administrative teams of changes to processes.
  • Support with training of new systems / processes that have come from projects

 

Knowledge, training and experience

  • Understanding of Christie PAS systems including careflow and CWP, specifically the waiting list and patient appointments functionalities.
  • Experience of using integra to order items and sign off purchase orders.
  • Financial knowledge of budgets and expenditure.
  • Experience of interacting with project plans is desirable.

 

Analytical and judgemental skills

  • Closely monitor patient waiting lists to ensure patients have appropriate appointments to adhere to cancer pathway targets.
  • Work carefully on projects and compare data analysis to help improve the service.

 

Planning and organisational skills

  • Work to tight deadlines set by project leads.
  • Plan and organise workload to ensure all tasks are completed in a timely manner.
  • Show initiative when dealing with tasks.
  • Plan and attend multi-disciplinary team (MDT) meetings on an ad-hoc basis in times of support and cover. Working flexibly to late notice changes to the list, deferring patients or accommodating additional listings, ensuring all documentation is received in time for the meeting. Hearing and recording information regarding patients’ care.
  • Take minutes from MDT meetings and share them with the relevant parties. Ensure these are accurately uploaded to the specialist system for complete record keeping.

 

Responsibilities for policy and service development implementation

  • Follow all relevant policies and procedures, in particular in relation to the Data Protection Act. Ensure researchers are working to the relevant policies and procedures.
  • Be pro-active in monitoring working practices and suggesting new ways of working and implementing them.
  • Implement new SOPs and working procedures as required.

  • The post holder is expected to follow all relevant policies, SOPs and standard practice.
  • Plans and organises own time and workload activity with prioritisation.
  • Able to work independently using own initiative.

Qualifications

Essential criteria
  • Educated to degree level or equivalent level of knowledge and experience.
  • Strong background in patient access, administration services and patient pathways.
  • Evidence of professional development and knowledge of leadership and management techniques.
Desirable criteria
  • Good understanding of hospital systems.

Knowledge & Experience

Essential criteria
  • Awareness of governance procedures.
  • Experience of being an integral part in project development.
  • Involvement in budget management and authority for significant financial budget.
  • Previous experience of delivering assurance and reports to meetings or committees.
  • Involvement in change processes or system implementations, including change management and process mapping.
Desirable criteria
  • Experience of working at an operational management level within area of responsibility.
  • Experience of involvement with external third parties supporting delivery of services.
  • Understanding of referral management, including cancer targets and pathway management, i.e. waiting lists and PTL management.
