Main duties of the job

Right by You (RBY)is a Wessex Cancer Alliance-funded project (in partnership with Macmillan Cancer Support). 

The Right by You service has been designed and shaped by people with lived experience of cancer. Dedicated cancer specialists from the service, support people closer to home, helping them to make closer links to services within the local area.

The team supports personalised integrated care with a focus on supporting people, and their families and carers, with their diagnosis and managing the impact cancer has on their lives. Support needs are identified by the person, based on their concerns and the things that matter to them. 

The key focus of the project support administrator will be to work closely with the pathway navigator, to help collect data, needed to not only support the RBY service currently but additionally to help provide data needed for its ongoing commissioning.

Detailed job description and main responsibilities

General Duties 

  • Provide high quality administrative and project support to the project team
  • Answer all enquiries from internal and external agencies courteously and efficiently, ensuring messages are passed to the relevant people
  • Arrange meetings or events, liaising with other colleagues as appropriate to set a mutually convenient time/date. This may include the booking/arranging of a suitable venue, equipment, and refreshments.  Coordinating papers as required
  • Organise and prioritise diary appointments, re-arranging, when necessary, to take account of more urgent meetings/appointments as they arise, informing the manager(s) of any new, changes and urgent appointments
  • Ensure meeting agendas and supporting paperwork are circulated to the relevant individuals in good time
  • Attend meetings and take minutes/notes as required. To ensure that these are produced in line with the agreed format and distributed as necessary
  • Create comprehensive documents in PowerPoint/Word/Visio etc to support project development and when required take minutes for project and programme meetings
  • Assist with the ordering/maintaining of stationary in accordance with Trust policy, whilst gaining an understanding of the Trust requisition and authorisation processes and be responsible for checking any deliveries are accurate and stored away appropriately
  • Update core documentation, policies, and procedures in conjunction with other colleagues
  • Record project data on relevant systems, regularly updating spreadsheets on progress and providing summaries as required
  • Provide project updates and reports via Excel as and when required
  • Help to co-ordinate ad-hoc events within UHS, alongside other colleagues as required.

Qualifications, knowledge and experience

Essential criteria
  • NVQ Level 3 in Business Admin or equivalent level of experience
  • Literacy and numeracy skills demonstrable to GCSE pass level or equivalent standard
  • Previous experience and knowledge of administrative procedures and setting up new processes.

  • Knowledge and experience of secretarial or administrative procedures
  • To demonstrate a good understanding of the importance of confidentiality and data protection.
Desirable criteria
  • Experience within the NHS
  • Previous experience of working in an extremely busy environment
