Job overview

The Microbiology Laboratory at Cambridge is the designated regional hub for the UK Health Security Agency (UKHSA) in the East of England. We deliver comprehensive microbiology services to Addenbrooke’s Hospital, Royal Papworth Hospital, East and North Hertfordshire NHS Trust, surrounding districts, and other NHS laboratories. Situated on the outskirts of the historic and academic city of Cambridge, Addenbrooke’s Hospital is a premier NHS Foundation Trust, consistently ranked among the top hospitals in the UK. The hospital has close ties with leading educational institutions, including the University of Cambridge, and serves as a prominent centre for biomedical research and education.

Our laboratory conducts a wide range of routine and specialised high-tech microbiological and molecular investigations. We utilise state-of-the-art automated systems such as Qiagen platforms, Microarray, BacTec, Sedimax, MGIT, Vitex, Centaur XP, Panther/Fusion, Liaison XL, Vidas analysers, and BD Kiestra.

Main duties of the job

We are seeking a dedicated Administrator Officer –  Compliance and Governance to assist the laboratory management and administrative  team in providing administrative support functions for regulatory compliance activity, ensuring that efficient and effective support is provided to progress compliance with the quality, Health & Safety and training regulatory processes in UKHSA  East of England.

Detailed job description and main responsibilities

General and Clerical 
 
  • Attend compliance activity meetings to take notes and prepare accurate minutes and maintain action and decision logs.
  • To assist with telephone queries from external callers with regards to compliance activity and take and pass on messages for senior staff of the laboratory
  • Support compliance lead BMS and laboratory management staff with coordination of associated activity and meeting arrangements
  • Assist with maintenance, management and updating of compliance records, including updating and formatting documents, supporting audit administration and report writing
  • Assisting with site specific compliance queries
  • Assist with production of monthly Quality/Governance exception reports for contract/service user meetings

Health & Safety

  • Liaison with the Laboratory Manager and H&S Manager to ensure efficient administrative support of related work
  • Report all accidents and incidents or near misses and dangerous situations to line manager

Quality and Clinical Governance

  • Maintain a high standard of work and comply with departmental quality policy
  • Assist with the receiving of reporting queries from customers and suppliers

Information Technology

  • Management of electronic files and record keeping.
  • Frequent use of email to pass messages to senior staff and other organisations
  • Use electronic in/out board to determine location of senior staff as required

Financial and Business Management

  • Assists Laboratory Administration Manager with compliance activity for stock management of stationery and computer consumables, laboratory stock levels.
  • Assist with provision of compliance specific costs for site to Laboratory Manager and Business unit for costing purposes.

Selection process details

This vacancy will be assessed using a competency-based framework which will assess your Qualifications, knowledge and experience and / or skills and abilities outlined in the essential criteria.
