Alder Hey Children’s NHS Foundation Trust is a provider of specialist health care and has a presence in community outreach sites and, in collaboration with other providers, our clinicians help deliver care closer to patients’ homes by holding local clinics at locations from Cumbria to Shropshire, in Wales and the Isle of Man. The Trust also provides inpatient care for children with complex mental health needs at our Sunflower House building newly relocated, and opened on the hospital site.

We currently have more than 4,000 staff working across our community and hospital sites. We’re also a teaching and training hospital providing education and training to around 540 medical and over 500 nursing and allied health professional students each year.

Job Summary:

The post holder will be responsible for the day to day administrative support to the Cardiology Service and will undertake a range of administrative and clerical duties.  The post holder will be required to work flexibly to ensure the needs of the service are met by covering both 1C cardiac ward as well as cardiology admin office.  Duties will include providing comprehensive clerical support for the ward, to retrieve/prepare all relevant documentation for the ward staff, to ensure accurate and timely data input on to the hospital PAS system for all admissions, discharges and transfers and to ensure all relevant documentation is filed into medical records folder.  The post holder will also be expected to provide general office admin support including scanning, photocopying, opening and sorting post and taking referrals to referrals department.

Ward staff, administrative staff, patients and families.

We are looking to recruit a reliable Cardiology Ward/Admin clerk on a permanent basis.

Hours: 30 hours per week (days/hours TBC)

You should be organised and well-motivated with a mature approach to your work. Good oral and written communication skills are essential, and you should be able to work well within a team. Candidates would need to possess excellent organisational skills, can prioritise their workload as well as demonstrate excellent administrative skills.

Main Duties and Responsibilities:

  1. Meet and greet patients and families on to ward, ensuring patient details are correct and verifying with GP surgery when necessary. 
  2. Using smartcard to access the National Spine to verify patient demographic details and NHS numbers when required.
  3. Retrieve/prepare all relevant documentation for ward admissions.
  4. To process all admissions, discharges and transfer of patients using the hospital information system (Meditech) in real time and print off ward list.
  5. Ensure case notes are kept in good order, attaching all necessary documentation to correspond with patient’s admission/transfer/discharge.
  6. Prepare the in-patient trolley for ward rounds, ensuring all relevant documentation is available where applicable.
  7. Ensure specialist records/audits are retrieved from hospital notes on discharge and sent to relevant department where applicable.
  8. To arrange follow up appointments with various departments on patient’s discharge, including peripheral clinics.
  9. To arrange ambulance/transport for patients as required.
  10. Liaise with ward staff, admin staff and other departments as and when required.
  11. To deal effectively with all incoming and outgoing correspondence.
  12. To book interpreters as and when required.
  13. To deal with telephone enquiries in a timely manner and take appropriate action.
  14. To liaise with Estates Department regarding routine maintenance of ward when necessary.
  15. To carry out general clerical duties on  the ward and in the office including filing, faxing and photocopying and scanning.
  16. To undertake relief duties of other ward clerks during their absence and to act as mentor when the need arises.
  17. To effectively liaise with other departments internally and externally with regard to all aspects of patient care.
  18. Photocopy, laminate and display ward information as requested by Ward Manager.
  19. Support the Meditech Downtime process as guided by the Ward Manager.
  20. Copy type minutes, relevant documentation for Ward Manager.
  21. Scan records to appropriate folders – ward applicable.
  22. Receive and process critical care bed requests – ward applicable.
  23. Co-ordinate Mac House requests for parents/families.
  24. Print time sheets and ETAD’s
  25. Co-ordinate midwifery support as required for neonatal unit – ward applicable.
  26. Distribute patient information documentation for parents.
  27. To open and sort all post within the cardiology admin office
  28. To collect and take any paper referrals to referrals dept.
  29. To place stationary orders for the department using NEP system.
  30. To call patients to remind them about their upcoming appointment.
