A vacancy has become available for a Band 3 Service Co-ordinator / Secretary working 15 hours per week at Royal Oldham Hospital with some possible Hybrid Remote working after training completed and competencies reached.
You will be responsible for a range of administrative and secretarial duties to support the service and Management and will be required to work as part of a team in the Interpretation Department.
Main duties of the job
You will be responsible for a range of administrative duties including the allocation of appointments, initiating 2 or 3 way telephone interpretation calls, supporting and coordinating the recruitment of bank interpreters, supporting staff with ensuring mandatory trainings are 100% compliant, supporting staff with datix incident recording and facilitating team meetings and taking minutes and preparing agendas.
You will often be the first point of contact and a focal point for the service requiring clear communication and liaison skills and will require a high degree of organisational skills and excellent working knowledge of administrative systems. You will be responsible for managing and prioritising your own workload and will be required to use your own initiative.
You will receive appointments via the online interpreter booking system, Zipporah, email and telephone, to data input accurately those appointments and to ensure all communication is passed over to the relevant staff member. Patients calls are dealt with in accordance with the NCA Trust Values. You will demonstrate flexibility and be able to cover a weekend shift at short notice. You will be confident in communication with clinicians and patients in a professional manner.

Essential Qualifications
Essential criteria
- Education to GCSE level/GCE ‘O’ Level
- Word processing - Qualified to RSA II/NVQ level 3 or equivalent qualification/demonstrable skills (60+ wpm at 95% accuracy
Desirable criteria
- ECDL or equivalent qualification
Training and Experience
Essential criteria
- Significant experience of providing clerical services
- Experience of using IM&T systems for data entry
- Experience of successfully working within tight time frames and to deadlines
Desirable criteria
- Knowledge and understanding of the National Health Service
- Minute taking experience
Skills/ Knowledge
Essential criteria
- Comprehensive knowledge of Microsoft packages
- Advanced keyboard skills
- Ability to communicate in a clear and concise manner
- Proven organisational skills and ability to prioritise workload with interruptions and changing priorities
- Good numerical skills
- Ability to multi-task and prioritise own workload
- Knowledge of a full range of administration procedures and their application to improve service efficiency and effectivenes
- Good command and understanding of English, punctuation and grammar
- Good telephone answering skills
Desirable criteria
- Understanding of the Data Protection Act. Knowledge of Information Governance with regard to maintaining confidentiality of person identifiable information

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
