We are looking to recruit an enthusiastic and well-motivated individual to work in our Endoscopy department as clinic coordinator,  based at Wythenshawe hospital. 

Excellent communication skills together with the ability to work as part of a team and under the pressure of ongoing deadlines are essential requirements for these posts.

Previous knowledge of working in a relevant hospital based role and/or in a clerical role is essential. An understanding of National NHS waiting time targets would be desirable

Main duties of the job

Responsible for the co-ordination and preparation of day clinics

Ensure all patients are added to the waiting list on HIVE

Organise appointments on HIVE for departmental and outpatient clinics using the partial booking system 

Advise ward staff of patients preparation for intended endoscopy procedure and of patients appointment date and time in the Endoscopy Unit

Liaise with the Portering Service regarding inpatients transportation from ward to Endoscopy Unit

Liaison with medical/nursing staff regarding urgent appointments 

Responsible for the co-ordination of out of hours waiting list initiative clinics without the supervision of the Unit Administrator Manager 

Note arrival of patients and advise staff as appropriate 

Responsible for cancellation of clinics under instruction of Unit Administrator Manager

Responsible for dealing with patient enquiries including using initiative to appropriately handle sensitive issues

Suspend/cancel and tailor endoscopy lists according to planned medical/surgical leave

Record all types of referrals into the Endoscopy Unit

Ensure all data regarding patient attendance is recorded daily

Assist in the maintenance of office filing systems

Photocopying, duplicating and filing as required

Assist in the training and supervision of new staff at Admin & Clerical Grade 2 & 3 level

To assist other sections of the department with similar duties at times of acute staff shortages

Essential

Essential criteria
  • Previous recent NHS or healthcare clerical experience
  • Experience of PAS and or Ultragenda or other similar IT system
  • Computer literate / IT trained,
  • Ability to train / induct/supervise new members/existing members of staff
Desirable criteria
  • Knowledge of hospital environment / routines
  • Knowledge of NHS treatment wait times
