Senior Maternity Secretarial Administrator

Job overview

An opportunity has arisen in the Women's, Children and Radiology (WCR) Directorate for a full time Senior Secretary. The role is to support the Administrative Team Supervisor using strong secretarial and administrative skills. Working as part of the administrative team, the post-holder will provide secretarial and administrative support to the Director of Midwifery and Gynaecology and the Deputy Head of Midwifery as well as the rest of the Senior Midwifery Management team.

The post-holder will liaise with the Divisional team and Divisional secretary to support structured liaison between the Divisional Senior Management team. They will also liaise with colleagues across the Trust as well as secretaries and PA’s in Trust Headquarters to ensure the efficient management and organisation of senior Trust level meetings. They will support the timely submission of reports authored within the maternity department for Divisional and Trust meetings and Committees.

We are looking for someone with previous secretarial experience only, ideally in an NHS environment, who has excellent audio typing skills and knowledge of basic medical terminology. You need to be able to organise your workload and cope under pressure. If you have the above experience along with excellent communication and interpersonal skills, confidence in working autonomously and can uphold our Trust values we want you.

This role requires physical presence in the Maternity Secretarial Office across 5 days per week. 

Main duties of the job

The post holder will be expected to ensure a comprehensive effective administrative and secretarial service to the senior Midwifery leadership team, specialist midwives and their teams within maternity to allow the smooth and efficient performance of the service. You will be expected to liaise with the multi-disciplinary team, internal departments and external agencies to ensure continuity in achieving excellence in patient care.

Excellent interpersonal and communication skills are essential as the post holder will be expected to be able to communicate effectively and sensitively with a wide range of people including clients, colleagues, sub-contractors and external agencies.

Produce correspondence and draft correspondence, reports and letters. Create, manage and update documents and electronic filing system for the Maternity team. Printing, photocopying, scanning and filing of paper documents following all necessary IG principles. Ensure email communication is effective and discreet between patients and patients are booked in via the telephone in a prompt and professional manner.

To provide a full and efficient secretarial service to the senior Midwifery leadership team.

The ability to organise meetings, and diary management are essential to this post. Excellent IT skills and previous experience in an office setting are essential.
