An exciting opportunity has arisen for applications for the role of Executive Office Administrator.
We are looking for someone who is; enthusiastic, motivated, professional and articulate to join our dedicated Executive Office Team.
The post holder will be expected to provide a full range of administrative duties to the Executive Assistant and Business Manager to the Chief Executive and Executive Office Team.
The post holders main duty will be the booking of Trust travel, accommodation, events and venues for our people.
The post holder will be competent in the administration of meetings, minute taking and be willing to attend meetings/events as requested.
The post holder will assist with the administration of both the Retirement and Leavers Processes and Trust Awards Ceremonies working with the Executive Assistant and Business Manager to the Chief Executive.
The successful applicant would join the Executive Office Team consisting of six Executive Assistants and one Personal Assistant. The post holder would be based at Trust HQ, Exeter. There would be some flexibility for hybrid working – working from home in liaison with the Executive Assistant and Business Manager to the Chief Executive.

Booking of Trust travel, accommodation and venues.
Retirement and Leavers Process - Letters to our people from the CEO and ordering/distribution of retirement gifts as appropriate.
Trust Awards Ceremonies - Assist in the administration of the Award Ceremonies, checking of Awards, attendance to support at the ceremonies and any wrap up duties following the ceremonies.
Correspondence - Collect post, scan and keep and up-to-date post log. Forward any correspondence received by post or email to relevant people within the Trust to action as appropriate. Ensure correspondence is actioned.
Undertake general administrative tasks for the Executive Assistant and Business Manager to the Chief Executive and for the wider Executive Office Team including Executive Assistants, Personal Assistant and Executive Director Team.

- Five standard level qualifications to include Maths and English (GCSE Grade C and Above or equivalent)
- Full Driving Licence

- Administrative Qualifications for word processing, typing, and audio typing.
- NVQ Level 3 Business Administration/Travel & Tourism.
Previous experience

- Administrative experience in a busy office environment.
- Previous administrative experience to include minute taking and production of written documentation.
- Use of Microsoft applications and file share systems.
- Experience of administrating meetings.
