Job overview

The successful candidate will be well organised and able to prioritise work. You will be proactive in solving problems and queries and you will see these through to completion.  The post holder will need to be calm and patient, with an excellent telephone manner and skills to deal with sometimes complex and difficult issues over the phone.  

You will be supporting our Community Paediatrics Team and will be involved with answering calls to the service, arranging appointments, typing letters/audio typing of reports, managing waiting lists, scanning and uploading documentation onto appropriate systems, photocopying, minute taking and some general administrative work as required. 

There will also be an expectation for staff to cover our Reception if needed.

  • Maintaining ledgers

  • Formatting Letters
  • Dealing with queries from Clinicians, Consultants and patients
  • Sending out forms
  • Referrals to our service and referrals out to other services
  • Agendas creating and updating and sending and minutes from meetings
  • General administrative duties

  • Ensuring good customer service by providing a professional and effective service by dealing with queries from service users, carers or staff in person or on the telephone. Take accurate messages and ensure these are passed on to the appropriate people. 
  • Carry out any office duties, such as dealing with post and photocopying; be responsible for document filing and ensure that the relevant records are organised, accessible and up to date. 
  • Accurately input data onto the relevant electronic system, in a timely manner in line with standard operating procedures. 
  • Provide cover as directed by your manager, for other members of the admin team in their absence and assist with their workloads as necessary. 

Person specification

Education/Qualifications

Essential criteria
  • Educated to GCSE/GCE standard
  • RSA stage II/NVQ Level 2 in administration, or equivalent
  • Good command of written English

Experience

Essential criteria
  • Previous experience of carrying out general admin procedures in a reception/administrative/secretarial environment
  • Experience of customer facing role
  • Experience of inputting accurate and timely data onto electronic systems
Desirable criteria
  • Previous experience of working in a NHS office environment
  • Experience in using computer programmes including healthcare IT systems
  • Lived experience of mental health

Skills & Abilities

Essential criteria
  • Excellent customer care skills
  • Excellent keyboard skills
  • Audio/copy typing skills
  • Experience of working with a minimum of supervision but working within standard operating procedures
  • Ability to work under occasional pressure/stress
