We are looking for a dynamic, innovative and motivated person to join the Administrative Support Team for CAMHS (Children and Young People’s Service). This is a new service and would be an ideal opportunity for someone looking to expand their experience and knowledge. This service provides an enhanced Child and Adolescent Mental Health Inpatient Service. We support the clinical teams to deliver enhanced psychiatric and psychological help for young people aged from 13 to 18, who need inpatient care.
Mill Lodge is a 10 bedded hospital on a general ward. The successful candidate will be providing vital administrative support for nurses, psychiatrists, clinical psychologists, teachers and a wide range of allied health professionals and non-clinical support staff.
Working as part of an extensive team our purpose is that we will be able to build better links with local services and partner agencies. This is to reduce admissions and lengths of stay and improve the quality of care. Therefore, excellent typing, servicing meetings and minute taking, audio typing and good communication skills will be a key skill for the role.
Main duties of the job
We are looking for a committed, reliable secretary to join our administrative team who will assist in supporting the clinical teams from an administration perspective. You will be directed and guided by the Admin Manager but will at times work using own initiative within the boundaries of the role.
We provide a high-quality support service which is integral to the success of the service, and we are looking for someone who feels they can enhance the admin provision already being provided.
You will be an experienced team player who has the skill, knowledge, and the right attitude able to assist in the delivery of a high quality, accurate and timely support service. You will be self-motivated and able to work effectively, in what can at times be a pressurised environment.
You will have the following skill and experience, Minute taking experience, Clinical Report/letter writing, secretarial experience. Previous experience in a similar administration post will be beneficial, Proficient user of the Microsoft package.
The role will also require excellent and proven communication skills, organisational skills, word processing skills at a high level with experience of digital dictation systems. You will have good skills surrounding electronic systems i.e. Care Director, EPR (electronic patient records) and the ability to work independently but able to accept direction from the Line Manager as required.

The key knowledge, skills and experiences needed to undertake the role are:
Knowledge
Knowledge of general office duties (electronic and manual filing systems, faxing, photocopying etc.)
Good working knowledge of Microsoft Office
A minimum of 18 months secretarial experience at NVQ level 3 or equivalent
Knowledge of a variety of software packages
Working knowledge of electronic diary management
Understands the responsibilities of working with confidential information
Knowledge of medical (psychiatric) terminology (desirable)
Knowledge of Mental Health Services (desirable)

Excellent word processing skills at RSA 3 standard or equivalent – tested

Demonstrate the ability to prioritise work and meet deadlines with direction from the Support Service Team Co-ordinator
Ability to work within a team and to communicate effectively within that team

Ability to cover for colleagues and to ensure the smooth running of the admin team during the absence of the Support Service Team Co-ordinator
